At The Institute For Responsible AI we are committed to protecting your privacy and ensuring the responsible use of data. 

This Privacy Policy describes how we collect, use, and protect personal information in connection with our services.

The Institute For Responsible AI collects limited personally identifiable information (PII) necessary to provide and support its services. Specifically, we may collect:

  • User Name
  • Email  Address
  • Conversations and messages

These are used for authentication, user identification, support, and product improvement purposes. In addition, The Institute For Responsible AI may log conversations that occur within its platform (e.g., chatbot interactions in Teams, WhatsApp, or web interfaces). These logs may contain user-submitted content, which may inadvertently include PII. We strongly discourage users from sharing sensitive or personal information (such as government IDs, medical records, payment details, etc.) through The Institute For Responsible AI  interfaces. 


2. How We Use Information

We use the information we collect to:

  • Provide access to the The Institute For Responsible AI platform and associated services
  • Personalize the experience for authorized users
  • Monitor system usage, performance, and security
  • Analyze aggregated conversation logs to improve system capabilities and accuracy
  • Provide support and troubleshoot issues

3. Data Retention

  • Name and email address are retained as long as the user account is active or as needed to provide services.
  • Conversation logs are stored in the The Institute For Responsible AI cloud environment and may be retained for auditing, quality assurance, and service improvement purposes.

We do not sell or share personal information with third parties for marketing or advertising purposes. 


4. Data Security We employ administrative, technical, and physical safeguards to protect information from unauthorized access, disclosure, or destruction. This includes encryption, access controls, and secure storage practices.However, no method of transmission or storage is 100% secure. We encourage users to avoid sharing sensitive PII through the platform. 


5. Your Responsibilities

Users are responsible for:

  • Complying with organizational policies and applicable laws when using The Institute For Responsible AI services
  • Refraining from submitting sensitive personal information through the chatbot or other systems
  • Informing  their organization’s administrator if they believe their data has been      mishandled

6. Data Access and Deletion

Organizations may request access to or deletion of user data by contacting The Institute For Responsible AI support. Requests must come from verified administrators or data protection officers. 


7. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on our website with an updated "Effective Date." Continued use of the platform after such changes constitutes acceptance of the updated policy.
